Job description

To successfully deliver all elements of accreditation and access control for the AELTC and The Championships.

What you will be doing

  • Coordinate the data management and operational delivery of accreditation for The AELTC including year-round operations at all AELTC venues. 

  • Manage and oversee the door access system and access rights across multiple venues.

  • Assist in the planning and implementation of the Accreditation process for both the Qualifying Competition and The Championships ensuring all those involved have the correct access to zones and venues.

  • Act as a key liaison with stakeholders (contractors, suppliers and AELTC departments) to ensure that appropriate accreditation is issued to approved persons.

  • Effectively collect and manage data for accreditation ensuring procedural adherence, quality control, management, and timely delivery in accordance with the correct processes and procedures.

  • Manage communications and documentation release plan for all contractors across all client groups. Chair appropriate pre-event meetings and debrief sessions.

  • Liaise with 3rd party contractor groups to provide support and guidance for the submission of accreditation applications to the Wimbledon Accreditation System (WACS), including system training where required.

  • Coordinate the plan for scanning operations and oversee roll out during the year and The Championships.

  • Support staff recruitment for Accreditation and Championships colleagues.

  • Responsible for managing both permanent and temporary colleagues across different sites, including rotas, training requirements and onboarding. Work with the Accreditation Manager to review existing training and onboarding plans for temporary colleagues in the team.

  • Act as a super user for the accreditation and visitor systems, providing data and reports to the wider business. Use this data to inform the creation of accreditation policies and procedures and future developments to the software.

  • Line management responsibility of the team located at Gate 1D.

  • To perform any other duties as may be required by the Accreditation Manager.

What part your role will play in The Championships

  • Coordinate site access requirements through all phases of The Championships across multi sites for both people.
  • Manage all accreditation processes for the Qualifying Competition including data collection, printing, distribution, and issue resolution on venue.
  • Oversee the accreditation perimeter offices (ACPOs) at the Qualifying Competition and The Championships.
  • Assist with the management of temporary accreditation staff for the Qualifying Competition and The Championships period, including scheduling, training, and supervision.
  • Support the Player Desk at the Qualifying Competition and at The Championships in matters relating to accreditation.  

About you

  • Previous experience of managing accreditation at a major event, able to demonstrate knowledge of accreditation systems and requirements.
  • Able to lead and motivate teams in high-pressured environments.
  • Excellent organisation, planning and communication skills, with an ability to meet demanding deadlines. Strong attention to detail.
  • Understanding of GDPR legislation.
  • Can build strong working relationships quickly with a diverse group of stakeholders.
  • Discreet and can process sensitive information in the strictest of confidence.

Other Information

  • This role will be based at the AELTC and offers the opportunity to work from home from time to time. 
  • Standard year-round working hours are 9am to 5pm, Monday to Friday, with an hour for lunch, although flexibility is required to meet the demands of the job. In the lead up to, and during The Championships, extended hours and weekend working will be required.
