Job description

The Club Communications and Membership team provides day-to-day support and a “point of call” for any Members’ queries related to their membership. The Club Communications and Championships Coordinator will assist the Club Communications and Membership Manager with the successful delivery of existing and new, key Membership and Communication processes. The role will include leading on the Championships recruitment and Championships planning for the Club Office.

 

What you will be doing

Membership

  • Maintain and update all Membership information across all formats together with close collaboration and engagement with the Club Communications and Membership Manager on the Members’ database content.
  • Proactively maintain, monitor and update the Candidates’ List to include outstanding information required.
  • Coordinate the appendices papers for the Membership committee meetings, working closely with the Club Communications and Membership Manager and Membership Committee Chairman on data, and data compliance, required.
  • Assist in supporting accurate Members’ data analytics and appendices for the Membership committee.
  • Review, proofread and contribute to the List of Members’ and Club Regulations.
  • Work alongside the Club Office team to ensure all Members’ requests are dealt with immediately.
  • Develop, implement and administer a suite of Members’ gifts and merchandise.
  • Support the administration and delivery of additional Club projects as and when required.

Members’ Website & Communications

  • Contribute and proof new content for the Members’ Website and with the Club Communications and Membership Manager.
  • Support the delivery of high quality, engaging Member communications including website content, emails, notices, and Newsletters.
  • Assist the Club Communications and Membership Manager with Members’ Survey content and tone of voice.
  • Support the delivery of high quality, engaging content for presentations, letters and any other communications from the Club Director and Club Management team.
  • Liaise with the Club Communications and Membership Manager and the Club Director, Committee Members, and other departments on arrangements for the Members’ Forums and Members’ Meetings.
  • Assist the Club Events Team with Club Tours when required.

What part your role will play during The Championships

  • Support the recruitment, onboarding and management of the Championships’ Members’ Services Team
  • Support the management of, and full Championships briefing for, the Members’ Services Team, Operations Assistants – ITC & Club Service Stewards.
  • Support the development and communication of the Championships rota schedule to include the period pre-, during and post-Championships, for permanent and temporary colleagues within agreed guidelines, including scheduled rest days, to ensure agreed service delivery.
  • Strong collaboration and communication with the Club Communications and Membership Manager to ensure all Members’ & Widows Ticket letters and payment information is delivered on-time and in agreement with the requirements of the Ticket Office.
  • Coordinate the Members’ ticket returns process in the Championships’ Club Office, including liaison with the Club Director regarding allocation of returned tickets.
  • Input, update and reconcile the ticket return spreadsheet to record a cross reference of ticket activity.
  • Support the Club Communications and Membership Manager and Finance teams to process Member refunds, post-Championships to include data entry, in accordance with financial protocols, in time for year-end in August.
  • Coordinate the production of the Members’ Handbook, including liaising with internal stakeholders to include up to date, on time, delivery to all Members in May each year.  
  • Ensure all Championships collateral including dress code posters, Purple Badges, Order of Play cards, etc have been designed, ordered, and delivered in advance of the Tournament.
  • Coordinate and support the pre- and post-Championships office relocation to include relevant stakeholders.
  • Assist with the process of restaurant bookings in the Members’ Enclosure for The Championships.
  • Organise the Club uniform requirements with our official clothing partner.
  • Support to ensure the Club is 100 days ready pre-Championships
  • End to end management of the Members’ Survey in liaison with the Club Communications and Membership Manager 
  • Ensure the ongoing management of the Members’ Stand Access and signage.
  • Post-Championships debrief to include recommendations for improvements including deadlines for the Club’s Championships List and wider Club debrief.

Other Information

  • The year-round basic hours are 9am to 5pm, Monday to Friday, with an hour for lunch, although flexibility is required to meet the demands of the job.
  • Year-round evening and weekend working is a requirement within the role. This is in addition to the days and hours that are required around The Championships.
  • During The Championships, the job holder must be able to work at least a 12-hour day including weekends.

  • Strong technology skills: Microsoft Office suite to intermediate level with strong report writing and presentation skills.
  • Proven project management, planning and organisation skills, including the ability to meet deadlines and work under pressure.
  • Good organisational, project management and analytical skills.
  • Professional and diplomatic with strong interpersonal skills; able to build and maintain effective working relationships and work collaboratively with a wide range of internal and external stakeholders.  
  • Strong analytical and problem-solving skills with the ability to be accountable, work independently and meet deadlines with a flexible, solution orientated approach.
  • Proven experience in a sports environment together with an interest and knowledge of tennis.
