Job description

We're looking for a Recruitment Coordinator to join the Recruitment Team. The role is responsible for providing a pro-active HR recruitment service to support the year-round business and delivery of The Championships, providing a tailored recruitment service to specific colleague groups for whom you will be the main point of contact. Working closely with the other members of the recruitment team, you will be assisting the coordination of end-to-end recruitment processes whilst demonstrating excellent knowledge of the recruitment and HR systems, providing advice and guidance to other users where necessary.

What you will be doing

Championships Recruitment

Attraction and Administration

  • Supporting the screening and shortlisting of online applications for all temporary roles at The Championships.
  • Working with the team to manage incoming queries from colleagues in the lead up to the event, using standard email templates within agreed response times.
  • Dealing with and responding to telephone enquiries from candidates on an ad-hoc basis.
  • Supporting with the review of future staffing requirements following the completion of the annual recruitment campaign; collating staff feedback and engaging with department heads to understand, challenge and capture future staffing requirements.

Assessment and Contracting

  • Assisting with the delivery and smooth running of Assessment Centres and interviewing of new candidates. Annually updating assessment activity paperwork as required.
  • Coordinating candidate scores and photos after each Assessment Centre, ensuring all data is accurately recorded and filed in preparation for candidate selection and subsequent onboarding.
  • Being the main point of contact for the Transport staffing group, engaging with relevant line managers to understand staffing requirements, plan and organise staff rotas, and execute all relevant onboarding and contracting activity in line with recruitment campaign timelines.
  • Preparing and issuing contracts of employment to successful candidates and returning colleagues in the HR system, ensuring that all documentation and paperwork is filed correctly in individual employee files in a timely manner as appropriate.
  • Following system procedures to successfully integrate and onboard all Championships colleagues, ensuring all onboarding tasks are completed ahead of their start date.
  • Supporting with pre-event checks for specific teams such as medical licences, right to work, DBS and driving licences.

Accreditation, Training and Payroll

  • Uploading staff data into the Wimbledon Accreditation system in line with agreed deadlines.
  • Supporting with the coordination of pre-event training days which are attended by all colleagues before their start date.
  • Working closely with the HR and Reward Administrator, uploading relevant team rotas into the HR system in preparation for colleagues to clock in and out during their employment. Issuing clocking in and out instructions to Championships colleagues in advance of their arrival.
  • During The Championships, collating timesheets and accurately recording hours worked for specific teams in the HR system. Supporting with line manager briefings and ensuring 100% compliance in the employee clocking in and out system, collating back up timesheets throughout The Championships as required.
  • Working with the Payroll team to ensure everyone is paid correctly and on time.
  • Any other duties required to support the Recruitment team.

Year-Round Recruitment

  • Being the primary point of contact for HR Business Partners to provide a pro-active recruitment administration service to your allocated client groups, carrying out tasks including but not limited to:
  • Ensuring all new vacancies are loaded onto, LinkedIn and other direct recruitment websites, in line with agreed resourcing plan and raising relevant purchase orders.
  • Reviewing and updating the Wimbledon jobs website to ensure content is both up to date and engaging.
  • Supporting hiring managers in booking and arranging interviews and assessment of candidates i.e. screening and telephone interviews, when required, and administering interview outcome communications to candidates.
  • Preparing offers and employment contracts using correct templates and checking against Authority to Recruit (ATR) and New Starter Forms.
  • Ensuring all pre-employment checks and documentation are completed in a timely and effective manner i.e. right to work, DBS, pre-employment medical outcomes, employment references and driving licence checks.
  • Providing reference details for current and ex-employees, relating to employment, mortgage and other requests.
  • Uploading and processing new starter offer details through the HR system, coordinating the onboarding process for new starters, internal new starter announcements, and accreditation processing.
  • Following system procedures to successfully integrate new starters into the organisation and ensuring that new colleagues are onboarded ahead of their start date, working closely with the hiring managers to ensure employee benefits such as pension, private medical, life assurance have been set up.
  • Responding to candidate enquiries in a timely and effective manner, managing the Recruitment inbox
  • Carrying out general administration for the HR department including e-filing, shredding and processing mail outs.

Departmental Support

  • Supporting the HR team in providing basic advice and support to managers on HR policies and procedures, equal opportunities and terms and conditions of employment.
  • Supporting employees on HR matters by providing advice and answering queries and playing an active role in encouraging employee engagement and enhancing employee communications.

About You

  • High level of numeracy and accuracy when entering data with excellent attention to detail
  • Organised and able to meet targets and deadlines.
  • Excellent communication and English language skills, experience of working with Microsoft Excel
  • Excellent interpersonal skills with the ability to build rapport quickly with employees and colleagues, friendly and approachable with a can-do attitude.
  • Trustworthy and reliable to carry out duties unsupervised for some periods of time.
  • Experience in a staffing or recruitment role would be beneficial but is not a requirement.

Days and hours of work

  • You will be expected to work longer hours the week prior to and during The Championships fortnight.
  • Your main place of work is the Company’s premises at The All England Lawn Tennis Club however we are operating a hybrid working policy therefore you will be able to carry out some work remotely.
  • You must be available to work all 14 days of The Championships, with some flexibility in the rare case of additional days due to rain delays.
