Job description
We're looking for a PA to support our Marketing & Commercial Director in the day-to-day running of the department, including proactive diary management, organisational planning, correspondence across the year, engagement, and ad hoc projects.
What you will be doing
- Running the formal administrative and governance requirements for the Director’s office, including management of two Committees (Marketing and Commercial, and Ticketing) - preparing agendas, finalising papers and minutes.
- Gatekeeping for the Director, both internally and externally.
- Equally, maintaining effective relationships with both internal stakeholder – including colleagues, managers, other Directors, Committee and Board Members – and key experiential agencies and other important stakeholders including external agencies, global sport governing bodies, global broadcasters and sponsors.
- Building and maintaining strong relationships with clients and agencies.
- Coordinating and preparing agendas and information for key meetings, events, and business trips, including the collation of materials in advance to ensure the Director is fully briefed.
- Managing key events such as the Department ‘away days’, including coordinating catering arrangements, travel, seating plans, agendas, presentations, and technology requirements where required.
- Managing key strategic events, such as Official Partner Day and Championships events. Responsible for managing on site resources to support external and internal commercial events.
- Operational responsibility for coordinating and bringing ideas / launches to life through events year-round, including external client events.
- Coordinating travel and accommodation requirements for Director and accompanying team members where required, including visa requirements and proactive expense management and reconciliation on return.
- Proxy approval for budget and HR systems (Agresso and PeopleXD), reconciling expenses, approving invoices etc under Director’s delegation of authority.
- Managing and maintaining accurate and easily accessible legal document and key documentation filing systems.
- Ad hoc department project management and support.
What part your role will play in The Championships
- Managing contractual Broadcaster ticket requests for The Championships, ticket allocations and accreditation and to ensure allocations are correctly invoiced and distributed.
- Organising and actively managing various B2B hospitality events and tickets during The Championships on behalf of the Director and Club.
- Contact liaison for external events and VIP enquiries and those from the M&C Department.
- Arranging senior level broadcast courtesy meetings, meet and greet all commercial guests of The Championships.
- Managing any temporary administrative support staff.
About You
- A positive ‘can do’ attitude with a problem solving mindset.
- Proven, substantial PA experience with ability to act as the advocate for the Marketing and Commercial Director.
- Highly capable and composed with demonstrable gravitas.
- Strong communication skills in English – written and verbal.
- Experience in producing minutes for high level meetings.
- Excellent communicator – face to face, telephone and email to people at every level both internally and externally.
- Organised, discreet, diplomatic, confidential and able to manage complexity.
- Proactive, solution focused approach within agreed guidelines.
- High level of attention to detail.
- Able to build and maintain excellent internal and external working relationships.
- Able to take personal responsibility, multi-task and meet deadlines within agreed guidelines.
- Strong work ethic and the ability to cope with fluctuating workloads and pressure.
- Computer literate; competent using Outlook, Excel, Word and PowerPoint.
- Capable of managing high levels of workload pre and during The Championships, (June and July with the requirement to be on-site at the AELTC Wimbledon versus work from home, including some weekends).
