Job description

We are looking for an Estate Management Planning Coordinator to join our Estate Management Team. This is a fixed term role estimated to begin at the end of March and end in February of 2026. 

What you will be doing

  • Maintain PPM schedules for all MEP and Building Fabric assets across the Estate using SFG20 standards, as well as SFG30 standards where appropriate. Work with the Technical Team to create bespoke PPMs for specialist AELTC assets.
  • Ensure all EM assets are correctly captured and logged within the CAFM System (MRI Evolution). Appropriately assign the relevant asset classification in line with AELTC standards to ensure consistency within the data.
  • Schedule and issue PPMs on a weekly/monthly basis via the CAFM system. Ensure PPMs are scheduled appropriately so that it avoids the Championships period.
  • Identify PPMs where statutory compliance targets have been missed and ensure these are resolved as a priority, or confirm satisfactory reasons why they were not completed
  • Analyse the PPM data regularly and refine schedules accordingly based on engineers’ recommendations and usage.
  • Manage all changes to asset data arising from routine day-to-day activities as well as those which have been added/removed from Estate projects.
  • Liaise with the EM Managers and Leads to ensure all subcontract PPM schedules are accurate and are aligned with the terms of the subcontractors. Provide admin support, including raising PO’s and arranging visit dates, for subcontractors PPMs. Update the CAFM system upon completion of any service visits.
  • Monitor the completion rates of the subcontractors to ensure works are carried out in line with agreed KPI’s and SLA’s.
  • Upload all PPM records received from subcontractors onto MRI Evolution and/or Meridian, ensuring that any follow-up tasks identified from the service visits are logged and scheduled. Ensure the progress of tasks is captured and updated on MRI Evolution against the PPM.
  • Work with the EM Helpdesk team to support and operate the CAFM system, issuing and closing planned & reactive work orders and amending asset/location information when required.
  • Provide cover for colleagues during periods of sickness, training, and holiday.
  • Work closely with the EM Helpdesk team to ensure excellent service delivery across the business.
  • Undertake other duties within the scope of the Facilities function as requested by the Head of Estate Management.
  • The year-round basic working hours are 8am to 4pm, Monday to Friday, with an hour for lunch although flexibility is required to meet the demands of the job.

What part your role will play in The Championships

  • Liaise with the EM Managers and Leads to arrange onsite contractor presence for the Championships period. Obtain quotations and raise the necessary PO’s, as well as ensuring RAMS are received and passed on for approval so that accreditation can be arranged.
  • Assist the EM Helpdesk Team during the Championships and build-up period, when required, to prioritise and distribute the large number of reactive tasks via the CAFM system. Provide a professional and friendly service to the various stakeholders who contact the EM Helpdesk.
  • During the build-up to the Championships (June), basic working hours may vary, requiring earlier/later start and finish times. The job holder will also need to be available to work some weekends during the build-up period to meet operational requirements.
  • During the Championships, the job holder must be available to work up to 12 hours a day, including weekends.

About you

  • Excellent written and verbal communication skill.
  • Basic numeracy.
  • Strong IT skills, at least Intermediate level in Word, Excel, and PowerPoint.
  • Experience in a Facilities/Estate Management department using a CAFM system, ideally within a corporate environment.
  • Excellent customer service skills, with the ability to professionally answer queries and resolve problems.
  • Able to communicate effectively face to face, by telephone and email to people at all levels.
  • Able to build and maintain effective internal and external working relationships.
  • Accurate with excellent attention to detail.
  • Able to cope well with periods of pressure.

  • The Estate Management Department provides a comprehensive response to all reactive and planned maintenance and operations across the Estate, including electrical, mechanical, public health, cleaning, waste management, pest control, support services, construction, painting, and carpentry requests, which are all distributed and monitored via the EM Helpdesk. The department has a particular focus on managing and monitoring the Statutory Compliance items across the Estate to ensure a safe environment is provided to everyone on site. Over the course of the year, approximately 10,000 reactive requests are made to the EM Team; 4000 of these are during the Championships fortnight alone. On top of this, the EM Team also complete the routine Planned Preventative Maintenance programme across all MEP and fabric assets around the grounds, using our in-house team and contractors
